This position has a high focus in completing proposals to acquire work for our firm. Candidates with a strong background or interest in marketing, proposal creation, graphic design, or photo editing are a priority. This position also assists in our administrative department and requires some attention to non-marketing tasks as-needed.
Description of Duties
- Prepare communications, such as emails, reports, proposals, and other correspondence
- Creating and coordinating the proposal process including:
- writing, editing, printing, collating, binding and mailing/uploading submittals
- creating and producing marketing materials
- attending proposal kickoff meetings
- assisting with interview preparation and marketing materials quality control
- coordinating events
- preparing statement of qualifications
- Create and maintain filing systems, both electronic and physical
- Data entry for administrative departments
- Collate and distribute mail
- Process outgoing mail and packages
- Assistance with office environment organization and supplies
- Offer general staff support as needed
- Handle sensitive information in a confidential manner
Skills & Qualifications
- Decision-making: Make independent decisions and address the best way to handle specific tasks
- Communications and collaboration: Collaborate with other administrators, support personnel, management, and clients on a regular basis
- Organization skills: This is a core element of the responsibilities. Must know how to keep organized and prioritize tasks.
- Writing: Spelling, grammar, sentence structure, and writing are essential. Strong proofreading skills required
- Excellent time management skills and ability to multi-task
- Attention to detail
- Analytical skills
- Recent experience or proficiency in Microsoft Office, including Word, Excel, and Powerpoint
- Recent experience or proficiency in Acrobat
- Recent experience with InDesign and Photoshop
- Experience with Lightroom and Premiere are a plus, but not required
- Experience at an architectural or engineering consulting firm is a plus
A successful candidate will have the following combination of education and/or experience. Any combination is acceptable:
- Bachelor's degree (or higher) in marketing, business administration, communication arts, graphic design, or related discipline.
- Associate degree in marketing, business administration, communication arts, graphic design, or related discipline with two years of related experience.
- Four years of discipline related experience.
Pay rate is negotiable if considerable experience and qualifications are demonstrated.
